Inventory & Traceability Platform

Inventory management and end-to-end product traceability in a regulated industry

A single system for inventory management and end-to-end traceability of regulated products, taken from a high-level specification through regulatory analysis, process and interface design, and architecture to implementation together with the project's other engineering teams.

Inventory & Traceability Platform

Context

A large distributed organization in a regulated industry needed a single system for inventory management and end-to-end traceability of regulated products across their whole lifecycle: from intake and storage to usage and final disposal.

The client had a high-level specification. Turning it into a working system required detailed analysis of regulatory requirements, interviews with future users, and study of how the real business processes worked. The task was much broader than typical warehouse management.

What we owned

NekaSoft designed the solution and participated in its implementation together with the other engineering teams involved in the project.

1

Discovery

  • Discovery and user interviews
  • Analysis of regulatory requirements
  • Detailing the high-level specification
  • Formalizing business requirements
2

Solution design

  • Business process and procedure design
  • User scenarios
  • Screen and interface design
  • Role model and access rights
3

Architecture & integrations

  • System architecture
  • Integration design
  • Infrastructure and DevOps requirements
4

Build & launch

  • Implementation together with the project's other engineering teams
  • Preparation for the production launch
  • User training

Solution

The platform covers the whole lifecycle of products, from intake to final disposal.

  • Product intake and registration
  • Warehouse storage and stock levels
  • Transfers between participants, acceptance and handover
  • Write-offs and operations with counterparties
  • Product usage and the territorial objects connected to it
  • Final disposal
  • Accompanying documents and operation history
  • Reporting and notifications for the parties involved
  • A complex role model with fine-grained access rights

Every significant operation is linked to participants, tracked objects, and documents, so the system preserves an end-to-end history of product movement.

Result

The organization got a single digital system for inventory management and end-to-end product traceability.

  • The origin and current status of products can be traced at any moment
  • Movement between participants is tracked, with operations and documents recorded
  • Storage, usage, and final disposal are covered by one system
  • Territorial objects connected to product usage are part of the model
  • Reporting and notifications keep the parties involved informed
  • A large number of different roles work within shared, uniform processes

Delivery

The initial delivery took about six months.

After the launch, further operation and development of the system were handed over to the client's internal team.

Technology

Vue.jsTypeScriptJavaDockerKeycloak

Vue.js and TypeScript on the frontend, Java and Spring Boot on the backend, with Keycloak handling the role model and access control.

Need to track products, stock, and operations across many participants and roles, with a full history of every movement?
